TIPS AND TRICK FOR TRAVELING TO RENO - GET READY!

All Attendees: Athletes, Parents, Coaches, Spectators and Staff:
Credentials, pre-ordered shirts, and reserved Books will be available for pick up from 1pm – 6 pm on Thursday January 19th and from 7am – 9am Friday January 20th at John Ascuaga’s Nugget Hotel in the registration area - outside of the Rose Ballroom.

If arriving by Air:
John Ascuaga’s Hotel Shuttle bus will be available with frequent pick ups in the North Baggage Claim Area for individuals at no charge. The ride from the Airport to the Hotel is only 7 minutes. See Pole Transportation Procedure below if you are traveling with poles.

**Please be advised: The Reno-Tahoe International Airport Baggage Claim area is currently under construction.

When you arrive, please be prepared to exit the main terminal, walk outside along the front curb and re-enter Baggage Claim through any of the open doors. Travelers are encouraged to visit www.constructionwizard.com for maps, travel tips and more information.

If arriving by Car:
Reno is most easily accessible by I-80 running East / West and HWY 395 North/South.  Both John Ascuaga’s Nugget and the Reno Livestock Event Center are just off of I-80.  In the days approaching the Summit please check the Nevada Department of Transportation website for the latest road and weather conditions.  Inclement weather may cause delays in your travel. It is suggested that you drop off your poles before picking up your credentials or registering on site. Poles will not be allowed in the Hotel, you can keep them on or in your vehicle at your own risk.

Pole Transportation Procedure

Car Pole Transportation:
Attendees arriving by car will have a designated pole storage area separate from the AIR travelers at the Reno Livestock Events Center. The Drop-Off / Pick-up Area will be  open at 3pm on Thursday, January 19th and needs to be empty by 4pm on Sunday, January 22nd 2012 - Please take note of these times as the Arena will not be accessible before or after.


Airport Pole Transportation:
**Please Note the new Sunday Departure Procedure**
Arrivals:
Upon Arrival into Reno-Tahoe International Airport, poles should be carried to the dispatch area at the North end of the baggage claim area, follow the signs to hotel shuttle pick-up, you will see a Pole Vault Summit Welcome desk. For a $15.00 fee paid to a Reno Tahoe Athletics track club Staff member, the poles will be transported from the Airport to the Event Center and returned to the Airport after the Summit, before your departure time. When you drop your poles off and pay the fee, you will need to fill out an ID Sticker to be attached to your pole bag. Poles will be placed in a designated "Air Travelers" Pole storage area at the Event Center.

At the completion of competition event on Saturday, you will need to place your bags in the appropriate designated area according to your flight departure time.

Departures:
SATURDAY AFTER 6pm:
You will need to personally place your poles on the Designated "Saturday" truck on Saturday night by 4:00pm at the Livestock Arena.

SUNDAY BEFORE 9AM:
You will need to personally place your poles on the Designated "Sunday" truck on Saturday night before midnight at the Livestock Arena (the truck will be locked during the night).

SUNDAY AFTER 9AM:
There will be designated areas within the Live Stock Events Center to leave your poles for the staff to load on the truck according to flight departure times. These poles will be delivered to the Airport at the appropriate time on Sunday.

WHEN YOU ARRIVE  AT THE AIRPORT:
*Security and limited check-in space restrictions do not allow poles to be carried through the ticket counter check-in lanes, therefore requiring the following steps:

1. Poles will be dropped off by Reno Tahoe Athletics track club Staff OUTSIDE at the SOUTH end of the check in area. This is a PRIMARY Staging location where they will be watched over by a security guard until you arrive.

2. When you arrive at the airport, you will need to retrieve your poles and bring them inside to be placed at the INDOOR SECONDARY staging area located between the Southwest Airlines & American Airlines ticket counters. (The location will be clearly marked by signage.) Regardless of the airline on which you are traveling, leave them on the floor at this designated spot and then proceed to check-in for your flight at your respective airline.

3. When checking in for your flight, you must tell the check-in agent that you have poles as checked baggage. Airline personnel will escort you back to the indoor staging area, where they will tag / label your poles. After they are tagged, you must take them to the door behind the staging area designated by a vertical banner with pictures of a skier, bicycler & golfer. Here you will be greeted by a Transportation Security Administration (TSA) representative. Please wait until TSA has screened your poles before proceeding to your gate.

**Please allow sufficient time (at least 90 minutes) prior to departure as this process is a bit more time consuming than typical check-in. We are expecting heavy traffic departing Reno on Sunday, due to additional functions in the Reno-Tahoe Area. Your cooperation and attendance to the 2012 Pole Vault Summit is greatly appreciated. Thank you!


**Return airport pole transportation will only be available until 4pm on Sunday. If you are departing after that, you will need to make your own arrangements for getting your poles back to the airport, i.e, taxi, friend etc…

Special transportation needs:

Special Transportation needs such as pick up and drop off for individual air cargo shipping can be arranged for an additional charge with the Reno Tahoe Athletics track club and Paul Heglar. Contact Paul directly at paulheglar@yahoo.com to make arrangements.

Shipping your Poles:
For shipping your poles, Fly-Away Pole Protection may be an option. Click the link to learn more about their services. Please DO NOT ship your poles to the Hotel. They do not have accommodations to handle the poles.
